Events Assistant
What we’re looking for
We are looking for an organised and enthusiastic Events Assistant to support the planning and delivery of a diverse range of internal and external events across the company. Whether it’s office socials, team trips, industry shows, or expos, you’ll help create experiences that bring people together and represent the culture of the studio. This is a great opportunity for someone who enjoys working in a fast-paced environment and supporting the delivery of engaging experiences. The ideal candidate will be proactive, creative, highly organised, and passionate about helping to deliver memorable experiences for others.
Working closely with the Events Manager, the role involves liaising with venues, suppliers, and attendees to ensure events are delivered smoothly and professionally, while providing administrative coordination, logistical assistance, and on-site operational support throughout the event process. Key responsibilities include managing schedules, bookings, event materials, and guest communications, as well as assisting with event promotion and delivery. The role requires excellent organisation, communication, multitasking, and the ability to perform effectively in fast-paced environments.
Responsibilities
Assist with the planning and execution of office socials, company meet-ups, team events, and employee trips.
Support the Events Manager with day-to-day event operations, including RSVPs, venue preparation, travel arrangements, and accommodation bookings in the UK and internationally.
Coordinate event logistics, including setup, schedules, materials, and on-site support.
Research and liaise with vendors, making recommendations based on creativity, quality, cost, and alignment with company values.
Contribute to creative planning and event concepts to help deliver engaging experiences.
Collaborate with the wider team to support event delivery and expand the scope and impact of company events.
Working closely with the Finance Team to keep within all agreed budgets.
Uphold and reflect the company’s vision and values throughout the planning and delivery of events.
Ensure all events are inclusive, engaging, and contribute positively to team wellbeing and culture.
Support the Events Manager with collecting and evaluating attendee feedback to drive ongoing improvements, ensuring company events continue to be innovative and engaging.
Provide support with additional ad-hoc tasks and responsibilities as required.
Requirements
Eligible to work and located within the UK.
Local to Birmingham and have great transport links to commute and work at our HQ.
Flexible and adaptable approach to changing priorities and event requirements.
Creative mindset with an interest in event planning and employee engagement.
Passion for creating inclusive and engaging team experiences.
Willingness to travel and provide occasional out-of-hours support for scheduled events, including some evenings and weekends when required.
Able to respond positively to feedback and use it to improve performance and contribute to team success.
Desirables
Experience in planning overseas trips.Have an understanding of the video gaming industry.Previous experience supporting events within the gaming, entertainment, or creative industries.Familiarity with gaming culture, online communities, and current industry trends.Experience coordinating travel, accommodation, and venue logistics.Basic understanding of event budgeting and vendor coordination.Experience creating event materials, presentations, or social content.Confidence working in fast-paced, collaborative environments.Interest in employee engagement and community buildingPrevious experience in events, hospitality, administration, or customer service is desirable but not essential.
